Developed in accordance with Florida Statutes 440.13 and 440.185, the DataVault™ Module for DWC Medical Data Reporting offers a flexible and easy to use solution that makes the required reporting of the forms to DWC as effortless and worry-free as possible.

Our DataVault™ system is a secure web site that allows for manual entry (or import) of medical forms data, and produces data files formatted per the latest Revision E reporting requirements specified in the 2010 Medical EDI Implementation Guide. The DataVault™ keeps all your records in a centrally located database that is accessible from any computer that is connected to the Internet.

Need help entering the forms into the system? No Problem! We are a full service company, and have Data Entry Operators available to meet your needs at very competitive rates.

Our lead Architect was previously a consultant for DWC, and was actually the one who designed and built most of their Medical Data System (MDS). Therefore, if there is anyone who knows what it takes to develop a system to correctly send Medical Data to DWC, it is us!

• Edit Validation Rules always in Sync with DWC : Instead of trying to duplicate the thousands of Edit Validation Rules of the DWC Medical Data System, we designed the system to transmit the input forms to DWC and get the actual errors for each form (if present), and highlight those actual errors returned by DWC in red on the form editor screen. Forms are transmitted in batch every hour, so feedback on the forms you input is nearly in real-time.

• Lets you track and manage all of your forms easily, using the Form Search Window
• Allows you to search for forms using a wide variety of search parameters.

Forms List Window:

• Visually identifies the failing records in red.
• Allows forward and reverse sorting by any column.
• Quick Exporting of the Search Results for offline analysis in Excel.

Form Record Editors:

• Geared toward high speed keyboard entry as you enter your data. System performs structural validation checks to make sure that your form is OK to submit to DWC. If there are any problems, you are immediately alerted so you can fix the problem.
• Background color changes to red for each individual field that is either failing or has a warning associated with it. Pop-up yellow help messages tell you exactly what the problem is with each rejected field. Very user friendly!
• You can enter the records manually from scratch using the web site, or you can import your data from another system, then use the DataVault™ system to submit the data to DWC and then correct any rejected forms and resubmit them. It is an interactive, visual process that is easy to follow.

Feature Rich:

• Polls the DWC MDS Server every 10 minutes to download the processing results of any pending forms that have been submitted.
• Canned imports for all 4 form types, if you want to do the programming yourself.
• Custom import bridges can be built by us to meet your particular needs.
• Flexible Export capabilities built-in. You can analyze the data in Excel, once it has been exported.
• Ability to back all of your data records up to a file that you can download and keep (we are also performing full daily backups of everyone’s data).

Our program saves our customers many hours each quarter when reporting their data. It marks each form as either ACCEPTED or REJECTED by DWC after processing and paints the failing fields with a red background. With the form search window, you can easily navigate and correct your data so you can easily resubmit your corrected forms to DWC. This avoids the frustration of not knowing if your data was accepted or rejected by DWC and having to pay potential late filing penalties for each form that you are late filing. According to the DWC Rules, a form is not considered "Filed" until it has been submitted and ACCEPTED by their Medical Data System.

The cost of the DataVault™ Medical Data Module service is tiered, based on volume of forms processed each calendar quarter, as follows:

0 - 1499 forms per quarter: $0.50 per form
1500 - 9999 forms per quarter: $0.45 per form
10,000 - 30,000 forms per quarter: $0.40 per form
over 30,000 forms per quarter: please call

There is no up-front cost for establishing an account, nor any annual fees charged, other than your quarterly billing for the forms processed per the rates quoted above. Because of this, you can essentially try out the system without any up-front cost.
